4. Cookies

Cookies are small text files placed on your device when you visit a website. They allow the site to recognise your device and remember information about your visit. We also use related technologies — such as tracking pixels, local storage, and similar device-identification techniques — which are subject to the same rules under the UK Privacy and Electronic Communications Regulations and the EU ePrivacy Directive.

What cookies we use

We use four categories of cookies on this website:
  • Strictly necessary cookies are required for the site to function and to keep it secure. They enable core features such as logging in, navigating securely, protecting against fraud and abuse, and remembering your cookie preferences. These cookies are set automatically and do not require your consent. Providers include Cloudflare (bot protection) and HubSpot (login session and security).
  • Analytics cookies help us understand how visitors use our site, including how they navigate across pages and return visits, so that we can improve performance and content. Providers include Google Analytics, HubSpot Analytics and Amplitude. These cookies will only be set with your consent.
  • Functional cookies support features such as live chat, on-site personalisation, and recognition of returning users. Providers include Intercom (live chat) and Mutiny (personalisation). These cookies will only be set with your consent.
  • Marketing and attribution cookies help us measure the effectiveness of our marketing campaigns and understand which sources are referring visitors to our site. Providers include Google Ads (conversion attribution), Marketo (lead tracking), Amplitude (campaign attribution), HubSpot (referrer attribution) and LinkedIn (campaign measurement and third-party social features). We do not use cookies for behavioural advertising or to build cross-site profiles for retargeting through third-party advertising networks; we use these cookies only to measure the performance of our own marketing activities. These cookies will only be set with your consent.

Your consent

When you first visit our website, you will be asked to accept or decline all non-essential cookies (analytics, functional, and marketing). If you decline, your ability to use the website will not be affected, and only strictly necessary cookies will be set. You can withdraw your consent at any time by following the steps on our How to Manage and Remove Cookies page; once you do, no further non-essential cookies will be set. We are building a cookie settings page that will let you change your preferences with one click and we will update this policy when it has been updated.

International transfers

Some of the providers listed above (including Google, Amplitude, Marketo, Intercom and LinkedIn) are based outside the United Kingdom and the European Economic Area, and using their cookies involves transfers of data to those jurisdictions. Where this happens, we rely on the appropriate safeguards described in Section 9 (International Data Transfers).

For more information about managing cookies, visit www.ico.org.uk or www.allaboutcookies.org.

5. Who We Share Your Data With

We do not sell, distribute, rent, or trade your personal data to third parties. We will only share your personal data in the limited circumstances set out below, or where we are required to do so by law.

We share personal data only in the following circumstances:
  • Service providers and sub-processors who assist in delivering our services, subject to Data Processing Agreements. See Section 8 for details.
  • Legal and regulatory authorities where we are required to disclose data by law, court order, or regulatory requirement.
  • Professional advisers including lawyers, auditors, and insurers, subject to confidentiality obligations.
  • Business transfers — in the event of a merger, acquisition, or sale of all or part of our business, personal data may be transferred to the relevant third party. We would notify you before this occurs.

6. Advertising

We may display our own advertisements and promotional content on this website. Any advertising served by us uses data only in accordance with this privacy policy and does not involve sharing your personal data with third-party advertising networks.

Where our website contains links to third-party platforms through which we advertise (for example LinkedIn or Google), those platforms operate under their own privacy policies, which we encourage you to review.

Our website may contain links to third-party websites. We are not responsible for the privacy practices or content of those sites and encourage you to review their privacy policies before submitting any personal data to them.

7. Downloads and Media Files

Some pages on this website make documents, reports, or other files available for download. These files are provided for informational purposes. While we take reasonable precautions to ensure all files hosted by us are safe, we recommend verifying any downloaded file using appropriate security software.

We accept no responsibility for files hosted on third-party websites linked from our site. Users download such files at their own risk.

8. Sub-Processors

We engage the following third-party sub-processors who may access or process personal data on our behalf. Each is subject to a Data Processing Agreement consistent with Article 28 of the UK GDPR.

9. International Data Transfers

Where personal data is transferred outside the UK, we ensure appropriate safeguards are in place, including UK adequacy regulations or Standard Contractual Clauses approved by the ICO.

10. How Long We Keep Your Data

We only keep your personal data for as long as we need it for the purpose it was collected, or for as long as we have a legitimate reason to hold it. The length of time we retain your information depends on:
  • the type of data and how sensitive it is
  • the purpose for which we collected it and whether that purpose has been fulfilled
  • any legal or regulatory obligation to retain it for a minimum period
  • whether we need it to establish, exercise, or defend a legal claim

Once your data is no longer needed, we securely delete or anonymise it. In some cases, we may retain a minimal record — such as a record of an unsubscribe request or a suppression list entry — to ensure we do not contact you again in the future.

If you would like to know more about how long we hold a specific type of information, you can contact us at compliance@inspiratia.com.

11. Your Rights

Under UK GDPR, you have the following rights in relation to your personal data:
  • Right of access — you may request a copy of the personal data we hold about you. This is free of charge and we will respond within one month.
  • Right to rectification — you may ask us to correct inaccurate or incomplete personal data.
  • Right to erasure — you may ask us to delete your personal data in certain circumstances, for example where it is no longer necessary for the purpose for which it was collected.
  • Right to restriction — you may ask us to restrict processing of your personal data in certain circumstances, for example while we verify the accuracy of data you have disputed.
  • Right to data portability — where processing is based on consent or contract and carried out by automated means, you may request your data in a structured, machine-readable format.
  • Right to object — you may object to processing based on legitimate interests, including direct marketing. Where you object to direct marketing, we will stop immediately.
  • Rights related to automated decision-making — you have the right not to be subject to decisions made solely by automated processing (including AI) that produce legal or similarly significant effects on you. We do not currently make such decisions.

To exercise any of these rights, please contact us at compliance@inspiratia.com. We will respond within one month. We may need to verify your identity before processing your request.

If you are not satisfied with how we handle your data or your rights request, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at www.ico.org.uk.

12. Security

We take the security of your personal data seriously. We maintain appropriate technical and organisational measures to protect personal data against accidental loss, destruction, alteration, unauthorised disclosure, or access. These measures are reviewed regularly.

In the event of a personal data breach that is likely to result in risk to your rights and freedoms, we will notify the ICO within 72 hours and, where required, notify affected individuals without undue delay.

13. Changes to This Policy

We may update this privacy policy from time to time to reflect changes in our practices or legal requirements. When we make material changes, we will update the "last updated" date at the top of this policy and, where appropriate, notify you by email. We encourage you to review this policy periodically.
